Trinity Industries Goes Live with Electronic General Ledger Distribution

Lanvera, a premier document outsourcing company, successfully completed a large electronic report distribution project for Trinity Industries, Inc. in Dallas, Texas. Trinity is the nation's largest railcar manufacturer and specializes in producing a variety of high volume repetitive products, which serve the transportation, construction and industrial markets of the world.

Over the past several years, Lanvera had laser printed multiple final copies of Trinity's general ledger and related financial reports for collation and distribution to Trinity's 27 divisional accounting personnel nationwide. Trinity printed multiple interim print runs internally during the closing process. The financial reports were produced across all Trinity companies yet each accountant was entitled to receive only the sections related to their responsibility. The printing, paper, collation, copying and distribution costs were significant and severely slowed the closing process.

Lanvera suggested moving to electronic report distribution in a phased approach. First, Lanvera "data mined" report sections of all financial reports received and created "report package" print streams for each accountant. Each report package contained only the report sections required for that individual. Next the "report packages" were converted to indexed PDF files and placed on Lanvera's secure FTP servers. User names and passwords were assigned for retrieval 24 hours a day. Lanvera provided free Windows query software that allows instant queries by company, division, cost center and account. Report pages can be annotated electronically and printed to any network printer, faxed or e-mailed as an attachment.

The project was so successful that Lanvera now produces electronic report packages for the interim runs Trinity previously printed internally and the final run previously laser printed by Lanvera. The Trinity reports are now available within hours of Lanvera receiving the report files via FTP, significantly speeding the closing process. Hard cost savings alone - over $10,000 per month.
